Crew Call

Crew Call

Definition

Crew Call is the official start time for the majority of the crew on a production. It appears prominently at the top of the call sheet and indicates the time when all crew members—unless given a specific individual call or pre-call—are expected to be on set, ready to work.

Crew Call sets the pace for the entire shooting day. It is the moment when departments begin setting up, the AD team begins coordinating the workflow, and the production officially transitions from prep to active shooting.

How Crew Call Works

On every call sheet, Crew Call is displayed clearly at the top, usually under the weather, sunrise/sunset, and location sections.

Who Follows Crew Call?

  • Most below-the-line crew
  • Background performers (unless they have a separate call)
  • PA teams
  • Transport
  • Locations
  • Craft service and catering (unless they arrive earlier to set up)

Anyone without a personalized time beside their name is expected to arrive at Crew Call.

Who Arrives Earlier?

  • Specialized departments with builds (grip, electric, art, camera) may receive pre-calls
  • Makeup & hair often start before Crew Call
  • Transport, catering, and locations are usually there long before crew arrives
  • Background performers may have their own call times depending on makeup, wardrobe, and scene requirements

Why Crew Call Matters

Sets the Day’s Rhythm

Crew Call marks the beginning of measurable production time—work hours, turnaround, and meal penalties are calculated from this moment.

Ensures Department Coordination

With everyone present, the 1st AD can begin:

  • Safety meetings
  • The morning briefing
  • Assigning tasks
  • Managing load-in and blocking

Establishes On-Time Culture

Film crews rely heavily on punctuality. Crew Call is the primary way the AD department maintains order and keeps the day on schedule.

Common Variations

Pre-Call

A time earlier than Crew Call assigned to specific crew members who need head start (e.g., rigging, lighting, makeup).

Individual Call

A designated call time for specific people, often talent, makeup, stunts, or specialized trades.

Grace Call

An informal, production-dependent buffer (not always used) allowing a few minutes of flexibility—not something to rely on.

Tips for New Crew

  • Arrive 15 minutes early—never walk in at your exact call time.
  • Check the call sheet for location and parking instructions the night before.
  • If you have an individual call, follow that time—not Crew Call.
  • Always report to your department head or key when you arrive.
