A call sheet is the daily document distributed to all cast and crew before a shoot day. It contains all the essential information needed to run the day smoothly, including locations, call times, schedules, and contact information. Call sheets are typically prepared by the assistant director (AD) team or production office and are one of the most important organizational tools on a film set.



What’s on a Call Sheet?

While formats vary, most professional call sheets include:

  • Production Information: Title of the project, date, shooting day number, and production company details.
  • Contact Details: Phone numbers for producers, assistant directors, production office, emergency contacts, and key crew.
  • Location Info: Addresses, parking instructions, maps, and directions to the set.
  • Cast & Crew Call Times: Individual start times, makeup/wardrobe times, and transportation notes.
  • Scenes to Be Shot: Scene numbers, script page counts, INT/EXT (interior/exterior), and day/night indications.
  • Weather Forecast: Sunrise/sunset times, temperature, chance of rain, and other relevant notes.
  • Meals: Scheduled meal breaks, usually with a designated “lunch” time.
  • Advance Schedule: Teaser of what’s planned for the next shooting day.
  • Special Notes: Safety bulletins, stunts, special effects, or unique requirements for the day.

Who Uses It?

  • Cast: To know when and where to report, as well as what scenes they’re shooting.
  • Crew: To track call times, department responsibilities, and daily workflow.
  • Producers & ADs: To monitor the progress of the day and ensure everyone is in sync.
